The Archimedes Awards – Policy Handbook
1. Safeguarding Policy
The Archimedes Awards is committed to safeguarding and promoting the welfare of all children and young people involved in our programmes. All staff, volunteers, and associates must uphold our safeguarding standards and act in accordance with the UK’s statutory guidance, including Working Together to Safeguard Children.
- We require all personnel working directly with minors to have an up-to-date enhanced DBS check.
- Safeguarding training is mandatory for relevant roles.
- All concerns are handled in accordance with our Safeguarding Procedures and reported to our Designated Safeguarding Lead (DSL).
2. DBS Policy
All individuals engaged in regulated activity for The Archimedes Awards must undergo a Disclosure and Barring Service (DBS) check in line with UK legal requirements.
- Enhanced DBS checks are required for staff and volunteers working with children.
- Checks are reviewed every three years or sooner if required.
- We maintain a central record of DBS status.
3. Competition Policy
Our competitions are designed to be inclusive, accessible, and challenging for students in Key Stage 1 to Key Stage 5.
- Schools must register in advance and follow competition guidelines.
- We are committed to fair access for all students, regardless of background or location.
- All competition materials are protected by copyright and must not be redistributed without permission.
4. Event and Workshop Policy
All events and workshops organised by The Archimedes Awards aim to provide a safe, enriching, and engaging experience.
- A risk assessment is conducted for each event.
- Clear codes of conduct are communicated to participants.
- Parental/guardian consent is required for minors.
5. Outreach Policy
We actively support and deliver outreach to promote mathematical engagement in schools and communities.
- Our outreach prioritises underrepresented groups and areas with limited access to enrichment.
- Outreach activities comply with safeguarding and equality standards.
- We welcome collaboration with external educational organisations.
6. Ambassador Programme Policy
The Archimedes Ambassador Programme enables teachers and students to promote mathematical excellence within their communities.
- Teacher Ambassadors act as points of contact, organise events, and advise on content.
- Student Ambassadors must have parental consent and may log hours for awards such as the Duke of Edinburgh.
- All Ambassadors are expected to uphold the values and professionalism of The Archimedes Awards.
7. Duke of Edinburgh’s Award (DofE) Participation Policy
We support students using Archimedes Awards participation toward DofE Award service or skill sections.
- Roles such as Student Ambassador or competition organiser may qualify.
- Verification letters and documentation are provided upon request.
8. Registration and Data Handling Policy
We collect and manage personal data in compliance with the UK GDPR and Data Protection Act 2018.
- Personal information is used solely for registration, communication, and programme delivery.
- We do not share data with third parties without consent.
- Users may request access or deletion of their data at any time.
9. Contact Policy
We are committed to transparent, respectful, and timely communication.
10. Equality, Diversity & Inclusion (EDI) Policy
The Archimedes Awards values inclusivity and equal opportunity.
- We actively promote participation from underrepresented groups.
- Discrimination, harassment, or exclusion on any grounds will not be tolerated.
- Materials and communications are reviewed to ensure inclusive language and representation.
11. Women in STEM Policy
We are committed to addressing the gender gap in STEM through dedicated outreach and competition pathways.
- Female-focused outreach, speaker events, and mentoring opportunities are provided.
- Schools may opt into girls-only categories.
- We collaborate with organisations that promote gender equity in mathematics.
12. Policy Review and Compliance
All policies are reviewed annually by the governance team to ensure compliance with legal, educational, and safeguarding standards.
- Staff and volunteers are trained on policy updates.
- Breaches of policy may result in disciplinary action or removal from programmes.
